Give every provider the same packed-order input
- Exact product version and quantity
- Final or estimated carton count
- Outer dimensions and gross weight for each carton
- Destination country, region, and postal-code area when appropriate
- Requested service scope and any handling constraint
- Quote date, currency, and validity period
Ask how chargeable weight is calculated
A provider may charge by actual gross weight, dimensional or volumetric weight, or another route-specific basis. The divisor and rounding rules can vary. Ask which calculation applies and record both the measured carton data and the chargeable weight stated in the quote.
Product-only weight is not the same as packed gross weight. Shoes, bags, electronics, protective packaging, and irregular cartons can change the comparison substantially.
Define what the route label includes
Labels such as express, air, rail, sea, tax-included, or door-to-door can describe different service scopes across providers. Ask who handles pickup, export, customs-related steps, destination delivery, tracking, insurance if any, and exceptions. Current rules and restricted-item policies belong to the responsible provider and route.
Put the same seven fields side by side

Version the input together with the amount
Store the input and reply together. If carton dimensions, quantity, destination, or route changes, create a new version. Do not update only the final amount; the reason for the change matters.
Request a new quote when any core input changes
- The packed weight or carton dimensions changed.
- The quantity, variation, or packaging method changed.
- The destination or postal-code area changed.
- The stated validity expired.
- The service provider, route, or included scope changed.
Keep cost and delivery ranges labelled as estimates
A delivery range or cost estimate depends on the inputs and conditions stated by the provider. It does not guarantee acceptance, customs outcome, tracking events, final charges, or delivery time. Keep those responsibilities attached to the service that issued the quote.
Exclude a quote that hides its basis
Remove or pause a quote when it lacks packed inputs, hides the chargeable-weight basis, cannot name included charges, uses a different order, or relies on guaranteed outcomes without current written scope. Ask for clarification rather than making the totals look comparable.
